How to choose a web agency that won't disappoint you
Choosing a web agency isn't easy - everyone promises 'professionalism' and 'results', and only after a few months do you realize the site has been 'in development' for 6 months, emails go unanswered, and after launch every change is billed. This guide helps you recognize a serious partner in the first call.
Table of contents:
Red flags - when to run
Seven signs the agency is problematic, in the very first conversation:
- Gives the price 'roughly' without a written offer - a serious agency sends you a detailed specification with line items
- 'We can do everything' - no one does everything well. Serious agencies have 2-4 specialties
- Portfolio with 30+ projects 'in development' - means they never finish
- Doesn't give source code after launch - wants to 'lock you in'
- Price significantly below market (50% under average) - means a ready template or no time for you
- Aggressive sales, pressure to sign 'today' - a serious agency gives you time
- No written contract, just on 'word of honor' - everyone serious works with a contract
How to evaluate a portfolio
The portfolio is the best indicator of real quality. What to look for:
Are the sites LIVE
Click 'View Project' links - are the sites still active? If 80% are dead, it means clients don't stay satisfied.
Reasonable number of projects
An agency with 50+ projects in the portfolio and only 2 years of existence - either buys sites, or the portfolio is fabricated. A serious small agency has 10-30 projects in 5 years of work.
Variety of styles
If all sites look the same, they use a template. Different styles show they adapt design to the client, not the client to the template.
Technical check
Open one site from the portfolio, go to PageSpeed Insights, see the score. Below 50 = serious red flag, means they don't care about performance. More about the importance of site speed in the Core Web Vitals guide.
5 questions you must ask
- Can I see 3 sites you've built in the last 6 months? (with LIVE links)
- What exactly is included in the price, and what do I pay extra? (needs written specification)
- What happens if I terminate the engagement mid-project? (and who keeps the source code, hosting access, content)
- How do you handle changes after launch? (monthly maintenance? hourly? free for the first 30 days?)
- Can you connect me with 1-2 past clients to talk? (best indicator of true quality)
If the agency 'runs away' from any of these questions - find another. Serious partners are happy to answer all of them.
What must be in the contract
- Detailed specification - number of pages, features, images, integrations
- Delivery time with milestones (e.g. design in 2 weeks, development in 4 weeks, testing in 1 week)
- Payment schedule - typically 30% before, 30% in the middle, 40% before launch
- What happens if they don't finish on time (penalties or extension)
- Source code ownership - must be yours after full payment
- Warranty - 30-90 days warranty on bugs free of charge
- Termination clause - who can terminate, how, what gets handed over
Types of agencies in Serbia
Freelancer (1 person)
Cheapest option (15-35 EUR/h). Pros: direct communication, flexibility. Cons: limited capacity, no backup if they get sick, rarely covers all aspects.
Small agency (3-10 people)
Sweet spot for small and medium businesses (25-50 EUR/h). Team of designer, developer, project manager. Personal approach, enough capacity. We fall into this category.
Medium agency (10-50 people)
For bigger projects and complex needs (40-80 EUR/h). They have specialized teams (design, dev, SEO, marketing). Pros: complete service. Cons: more expensive, less personal communication.
Large agencies (50+)
For corporate clients and big budgets (60-120 EUR/h). Any complexity is possible. Cons: better for big brands, may 'overlook' small clients.
Our recommendation
For 90% of businesses in Serbia, a small agency is the best choice - enough capacity, personal communication, reasonable pricing. Follow these 3 steps:
- Make a 'shortlist' of 3-5 agencies (friend recommendations, Google search, Behance/Dribbble)
- Send everyone the same brief and ask for an itemized offer
- Talk with the strongest 2-3 - see which one 'clicks' with you
Price isn't the only criterion - cheaper partners can cost more in the long run (delays, mistakes, charge for every change).
